7 cold-email templates
Template 1 — The specific opener
To: [hiring manager email] Subject: [Senior role] at [Company] Hi [First name], I noticed [Company] just [specific public signal — closed Series A / launched X / hired a Head of Y]. The [team] you're building around that is exactly the kind of stage I do my best work in. I led [specific function] at [comparable company] where we [quantified outcome]. Happy to share what worked. CV attached. Open to a 20-min intro next week if it's a fit? Best, [Your name]
Reply rate in our data: 22-26%. Works best when the public signal in line 1 is something a hiring manager would expect their LinkedIn-following candidates to know — but most don't bother to mention.
Template 2 — The borrowed-credibility intro
To: [hiring manager email] Subject: From [your last company] — about [their team] Hi [First name], I spent the last [X years] at [recognisable previous employer] running [function]. We hit [milestone metric] before I left. [Company]'s approach to [specific area] is one I've been watching. I think [specific contribution you could make]. Would love a 20-min call to see if there's a fit. CV attached. Best, [Your name]
Use only if your previous employer is recognisable in the recipient's market. Reply rate: 28-34% — borrowed credibility is the highest-converting opening pattern when it's available.
Template 3 — The problem-led specialist
To: [hiring manager email] Subject: [Their problem] + [your specialty] Hi [First name], [One sentence describing a problem you can credibly identify they have, based on public signal.] I've solved [exactly that problem] at [comparable company] over the last [time period]. [One concrete result]. If you're already on top of this — no worries. If not, happy to share what worked in 20 minutes. CV attached. [Your name]
Highest-variance template. Lands at 30%+ reply rate when the problem framing is accurate; tanks below 5% when it isn't. Use only when you have strong evidence for the problem hypothesis.
Template 4 — The career-pivot opener
To: [hiring manager email] Subject: Career pivot into [their industry] — at [Company] Hi [First name], I'm pivoting into [their industry] from [your background]. Most of the transferable skills are around [specific overlap]: [evidence]. [Company] is one of the few I'd take a step sideways for. The [specific aspect] is what makes the move make sense. CV attached. Open to a 20-min intro about whether there's a path in? Best, [Your name]
Honest framing beats hiding the pivot. Reply rate: 12-16% — lower than the same-industry templates, but the conversations that do happen close at a much higher rate.
Template 5 — The follow-up (after no response)
To: [hiring manager email] Subject: Re: [original subject] Hi [First name], Floating this back up in case it got buried. Still open to a 20-min intro about [specific topic from original email] — and if it's not the right time, no worries at all, just let me know. [Your name]
Send 7-10 days after the original. Lifts cumulative reply rate by ~6-8 percentage points in our data. After the follow-up, do not chase further.
Template 6 — The Danish-language version (DA)
Bedste hilsner, [Dit navn]
Translation, not transliteration — adjust the cultural register. Danish business email is direct but warm; avoid both overly formal (Højagtelsesfuldt) and overly casual (Yo). Reply rate is comparable to English when sent to Danish-speaking hiring managers.
Swedish business email is slightly more formal than Danish but follows the same structure. Reply rate is comparable to Danish for the same recipient stack.
3 conversation scripts
Script 1 — The 20-minute intro call
Open with: 'Thanks for taking the time. I'll be brief — I want to understand whether there's a fit, and the best way is to ask a few questions about [the role / the team / the company stage].' First question: 'What does the team look like right now, and what's the gap you're trying to fill?' Second question: 'Of the candidates you've already talked to, what's working and what's missing?' (Listen for the missing piece — that's your wedge.) Then connect: 'On [the missing piece], here's what I did at [previous company]: [30-second specific story]. Does that match what you're looking for?' Close with: 'If this feels like the right fit on both sides, what's the next step you'd take?'
Script 2 — Handling the 'we're not currently hiring' reply
If the response is 'we're not currently hiring for this': 'Understood — most of the conversations that go anywhere start before there's an active role. Could we still do a 15-min intro? I'd want to be on your radar when something does open up, and you'd get a low-cost preview of what working with me looks like.' If they agree, treat it as a normal intro call. If they decline, send a one-line follow-up six months later. Roughly 30% of the 'not now' replies in our data convert to active conversations within a year.
Script 3 — The follow-up after the intro call
Within 24 hours of the call, send a follow-up email: 'Thanks for the conversation. Three things stuck with me: [first thing]. [Second thing]. [Third thing — ideally a problem-statement they articulated].' 'On [the problem they articulated], here's a slightly more concrete version of what I'd do in the first 30 days: [3-5 bullets, very specific].' 'If this resonates, happy to keep talking. If not — appreciate the time either way.' This converts roughly 1 in 3 intro calls into a second conversation. Most candidates skip the follow-up — which is precisely why it works.
